Huddle Room Technology Srl (hereinafter "we", "us", "our" and "HRT") is commited to protect and respect your privacy.
When you use HRT tools and services ("Services"), you trust us with your information. This Privacy Policy is meant to help you understand what data we collect, why we collect it, and what we do with it.

  • Your rights as to your information, including how to access and update information.

1. Who collects your data.


Huddle Room Technology Srl is the entity responsible for any personal information collected on this website and through your use of our services. To comply with the applicable laws around the world, in the parlance of GDPR, Huddle Room Technology Srl is the "controller" of personal information.

2. What data we collect.


(a) Information you consent to provide use.
Some of our Services may present forms to you to request certain information, such as your name, company name, job title, email, phone number, country of residence and/or address.

(b) Information from you using our Services.
We may receive information about how and when you use the Services, and we may store this information in log files or other types of files associated with your account, and link it to other information we collect about you. This information may include, for example, your IP address, time, date, browser used, and actions you have taken within the Services. This type of information helps us to improve our Services for you and for our other users.

What is an IP address? Every device connected to the Internet is assigneed a number known as an Internet protocol (IP) address. These numbers are often assigned in geographic blocks. An IP address therefore can often be used to identify the general location from which a device is connecting to the Internet.

3. Why and how we use the personal information.


We may use the personal information only for the following purposes:

We may use your personal information to contact you regarding your account or to troubleshoot problems with your account. For example, we may use such information to process your orders and requests for product samples (HRT NFR kits), process product registrations and warranty requests, or inform you of software updates and in the unlikely event of a safety recall.

(b) To promote our product or Services to you.
We will send you marketing emails only if you subscribe to our marketing newsletter. You can remove yourself from our mailing list by following the “Unsubscribe” link in each marketing email or by contacting us at info@hrt.email

(c) To send you alert messages.
We may inform you of a security breach relating to your personal information.

4. How to control your personal information.


We respect your right to access, correct, request deletion, or request restriction of our usage of your personal information as required by applicable law. We also take steps to ensure that the personal information we collect is accurate and up to date.

You have the right:

  • to give or withdraw your consent for us to collect and use your information
  • to know what personal information we maintain about you
  • to ask a copy of your personal information in a structured, commonly used and machine-readable format on request
  • to ask us to update your incorrect or incomplete information
  • to object to our processing of your personal information
  • to delete or restrict how we use your personal information, but this right is determined by applicable law and may impact your access to some of our Services.

You can see, review and change most of your personal information by signing in to your accounts in our Services and viewing our privacy control in Tools and Services.

(a) Giving you consent.
We will ask for your consent to collect and use certain personal information during the process of registering for our Services

(b) Access and accuracy of data.
You can always check all your personal information you have provided to us, e.g. by contacting us, or logging into your user profile in Partner Portal.

(c) Update or modify the data.
If your data changes (for example, if you have a new email address) or if your personal information you previously provided are incorrect or incomplete, you may correct it by contacting us at info@hrt.email

(d) Delete or reset your data.
For registration-required Services, such as Partner Portal, you can go to the user profile in our Services to reset or delete your account at any time.
For Services that do not require registration, such as sales inquiries, you may contact us to remove or delete any of your personal information that you previously provided.
For subscription services, such as newsletters, if you have previously agreed to our use of your personal information for direct marketing purposes, you may withdraw your consent anytime, by following the “Unsubscribe” link in one of our marketing emails or by contacting us at info@hrt.email.
When you delete/reset your account, subject to this policy, we will delete from our systems all of the information associated with your account, including any personal information. Once deleted, your account information cannot be recovered or restored.
In accordance with applicable law, we may remove your information, or make it anonymous, as soon as reasonably possible based on your account activity. We may also delay an account closure or retain your information to conduct an investigation or if required by law. Once we no longer have a need to retain information, it is erased in accordance with our retention and deletion policies.

(e) Retention of data.
We will retain your information for as long as your account is active or as long as needed to provide you with our Services.
We may also retain and use your information in order to comply with our legal obligations, resolve disputes, prevent abuse, and enforce our agreements.
We may also retain account information to do any of the following:

  • Prevent fraud
  • Collect any fees owed
  • Resolve disputes
  • Troubleshoot problems
  • Assist with the investigations
  • Enforce our terms and conditions
  • Comply with legal requirements
  • Take other actions otherwise permitted by applicable law

Where you have a statutory right to request access or request the modification or erasure of your personal information, we can still withhold that access or decline to modify or erase your personal information in some cases in accordance with applicable national laws as above.
If you request that we stop processing some or all of your personal information or you withdraw (where applicable) your consent for our use or disclosure of your personal information for purposes set out in this privacy notice, we might not be able to provide you all of the Services and customer support offered to our users and authorized under this privacy notice and any of our user agreement.

(f) Right to data portability.
You can contact us to export your data in a readable format for you.


5. Storage and transfer of personal information.


We will not store or transfer your personal information outside of the European Union without your consent. However, we may use some third-party tools to help us provide our Services to you.

The third-party platforms we use to deliver our Services include ovh.it, on which our Partner Portal is built, and MailChimp, which we use to send marketing communications, and register.it, on which our Website is hosted. We may transfer your personal information to such third parties, who may maintain their systems outside the European Union. We work only with third parties who have committed to abide by the requirements of GDPR.
Our Services may also include links to third-party services whose privacy practices may be different from ours. If you submit personal information to any of those sites, your information is governed by their privacy policies. We encourage you to carefully read the privacy policy of any third-party services you visit.


6. Personal information Security.


We take reasonable and appropriate measures to protect personal information from loss, misuse and unauthorized access, disclosure, alteration and destruction, taking into account the risks involved in the processing and the nature of the personal information.
If any security breach causes an unauthorized use of your personal information, we will notify you as soon as possible and later report the action we took in response.
